What is an employment background check?

A background check is a background check that is conducted to obtain information about an individual's criminal history. It is also commonly called a nationally coordinated criminal history check (NCCHC). The information provided in a check may include details of prior convictions, charges, pending court cases or other unlawful activity.

Why do you need an employment check for administration and office support roles?

Employment checks are often required for administration and office support roles because these positions often involve access to sensitive information, financial data or confidential records. As a result, employers have a duty of care to ensure that they hire trustworthy, reliable individuals who do not pose a risk to the organisation or its clients.

Additionally, many organisations in the administration and office support industry work closely with government agencies or other organisations that require checks as a prerequisite for working with them. For example, suppose an administrative assistant is required to handle confidential information or work with vulnerable people. In that case, a check may be necessary to ensure they are not a risk to the organisation or its clients.

Overall, employment background checks are an essential tool for ensuring that the administration and office support industry operates safely and securely and that employees are qualified and suitable for their roles.

How to get a background check

Here are the steps to get a background check:

Stage 1: Apply

You can apply for the check through a background check provider. The process usually involves filling out an online form with details that will be used to pull out your criminal record. Such information includes name, address, date of birth, etc. You'll also have to upload three identification documents as part of the process, and they include:

  • ✔ One commencement of ID document
  • ✔ One primary use in community document
  • ✔ One secondary use in community documents

You'll also have to pay the check application fee.

Stage 2: Processing

After applying, the check provider looks through your documents to ensure their validity.

The system they use runs a name-matching algorithm to detect a potential record match. If it doesn't find a match, the system instantly returns a 'no disclosable court outcome (NDCO)'. But if it does, the system sends the potential criminal record to manual verification. Here, they verify that the criminal record belongs to the applicant. Once confirmed, they apply the spent conviction scheme to determine which criminal records are 'unspent' so they can be released in the background check certificate.

Step 3: Get the result

Your background check provider will notify you once they receive the check result from NSS.

FAQs

✔ How long does a background check take to process?

The processing time for a background check can vary depending on the organisation processing the check, as well as the complexity of the check. Typically, it can take anywhere from one day (for an NDCO) to 15 days (when a potential match requires manual verification).

✔ What is informed consent?

Informed consent means employers must explain how the criminal check result will affect the hiring process before securing your permission to conduct a background check.

✔ Will a criminal record prevent me from getting an administration or office support role?

Not necessarily. It depends on the offence's nature and the role's requirements. Employers must consider the offence's relevance and seriousness and the length of time since the crime was committed when making employment decisions.

✔ Do background checks expire?

While checks do not technically expire, they only reveal criminal information to the check date. That's why employers set an acceptable time frame based on operational requirements and risk assessment.
